Challenge
Receipts collected in vans, pockets and glove boxes. At month end the bookkeeper chased twelve people for paper, and the numbers were always a few weeks behind reality.
Approach
A Telegram bot is the only interface. A message with a PDF is parsed directly; a photo goes to an AI agent with a structured output schema that returns supplier, date, amount, VAT and category. Both paths upload the original to Google Drive, append a row to the bookkeeping sheet, and confirm back in the chat.
The agent is deliberately narrow: it extracts, it does not decide. Anything it cannot read with confidence is flagged for a person instead of guessed.
Outcome
The paper trail became a chat. Receipts are filed the moment they exist, the books are current every day, and month end stopped being a hunt.
